. Knowledge of office management responsibilities, systems, and procedures.
. Excellent time management skills and ability to multitask and prioritize work.
. Excellent written and verbal communication skills.
. Previous experience in Board governance procedures and minute taking, ideally in a not-for-profit volunteer setting an asset.
. Proficient in Microsoft Office and Sharepoint.
. Post-secondary degree, diploma, or recognized certificate in office management or an administrative discipline, or equivalent on-the-job experience.
. Minimum 5 to 8 years of related experience in office management, administrative, or assistant experience.

Key Responsibilities:

Success in this position will be achieved through the delivery of exceptional support and service to internal and external clients. Deliverables include but are not limited to:
. Arrange and attend all quarterly Board meetings and periodic Board Development Committee meetings coordinating the schedule and all particulars related to the agenda, take minutes during the meeting, and ensure distribution, handle all logistics related to Board member attendance.
. Work with the Program Data Manager to ensure compliance with the CARF accreditation, participating in the process and activities, as well as executing all administrative requirements.
. Arrange and coordinate activities related to scheduled and ad-hoc staff meeting, events, roundtables, town-halls, and volunteer recognition etc.
. Arrange and attend SLT and Leadership Forum Meetings, preparing and distributing agenda, taking minutes, and coordinating any required materials and particulars.
. Provide various administrative supports to the Finance department, including managing petty cash, uploading invoices, assisting in the preparation of monthly reports etc.
. Execute general office administrative activities such as in-coming/out-going Post/courier, location mail drop-off distribution, business card ordering, office supply ordering, etc.

Additional Details:

• This is a full-time position, Monday to Friday, 37.5 to 40 per week.
